Simplifying Access to Project Documentation with Dropdowns

System

Confluence Cloud

Short Description

Enable project managers to organize multiple project-related Confluence pages into a single dropdown for easy navigation, reducing time spent searching and improving team efficiency.

Challenge

Project managers and team members often work with numerous Confluence pages containing project documentation, sprint overviews, roadmaps, and project requirements or specifications. Navigating between these scattered pages can be time-consuming, making it harder to access the right information quickly and potentially causing delays during project meetings or status reviews.

Actors

  • 👩‍💼 Lara – Project Manager

  • 👥 Joanna – Team Lead

  • 👨‍💻 Olga – Developer / Technical Team Member

Actors Goals

  • Lara wants to have an organized and efficient way to group project-related pages in Confluence so she can quickly access the right content during meetings.

  • Joanna wants her team to easily navigate between sprint boards, requirements, and documentation without wasting time searching through a crowded page.

  • Olga wants to access the technical documentation and project requirements efficiently, without having to scroll through unrelated content.

Use Case Scenario (Step-by-Step)

  1. Lara edits the project’s Confluence page and adds the Navitabs Dropdown navigation element.

  2. She creates a dropdown titled “Project Documentation”.

  3. Within the dropdown, she adds multiple tabs: Sprint Overviews, Roadmaps, Technical Specs, and Reports.

  4. Joanna accesses the page and quickly selects the Sprint Overviews tab from the dropdown during a sprint planning meeting.

  5. Olga uses the same dropdown to open Technical Specs without losing time searching for that page.

Outcome

  • Lara can present structured project documentation in meetings without wasting time finding the right page.

  • Joanna and her team can quickly navigate between project resources, improving efficiency.

  • Olga spends less time searching for documentation and more time focusing on development work.

  • The company benefits from reduced meeting delays, more efficient project management, and better knowledge sharing.

Implementation Details

  1. Edit your page, type “/Tab Wizard” and choose the macro “Tab Wizard”.

  2. Tap “Select existing content” or “Define parent content” in the Tab Wizard.

  3. In the “Design“ tab within the Wizard Macro, you can have access to 3 navigation elements: Tabs, Cards, and Dropdown.

  4. Add and name tabs under the dropdown according to the team’s needs.

  5. Group related project information logically to minimize clutter.

  6. Publish the page and share it with the team.

Additional Information:

  • Dropdowns can be nested for more complex structures if required.
